Every fault becomes a task with an owner

Maintenance, services and one-off requests are kept as tasks tied to a unit, each with a priority and an assignee. A problem the cleaning team reports opens a task by itself.

One list, ordered by due date

The Tasks page has two tabs, Open and Completed. Open tasks are one list by due date, grouped as Overdue, Today, Tomorrow, Later and No due date. Each task shows how late it is, what was reported and whether the unit is ready for guests, has a guest in it or has a guest arriving today.

A bar at the top shows how many of today’s tasks are done and in which units there are overdue, urgent or unassigned tasks. One click filters the list.

  • Frequent tasks can be prepared as templates, with prices by unit category.
  • For each task type you choose whether the job takes photos: none, optional or required.
  • Completed additional services go into the owner statement as separate items.

A reported problem opens a task

When the cleaning team finds a fault, damage, missing linen or something else, they report it from the cleaning screen: what it is, what it stops and who should fix it. Each report opens a task, and the camp decides whether a photo with the report is off, optional or required.

If the problem stops the cleaning, such as a flood, the cleaning waits until the task is finished and the team is then notified that it can carry on. If it only stops the guest from moving in, such as a broken bulb, the cleaning is finished and the unit is Awaiting repair until the next guest’s check-in, which becomes the deadline.

  • The office can hand the unit over to guests before the repair; the task stays open.
  • The cleaning shows who has taken the problem and how far they have got.

Technicians on their phone

Maintenance tasks are a separate type of work, and technicians see the tasks assigned to them on their phone, alongside their schedule for the day.

A new task suggests the maintenance team allowed to work on that unit, with the team for the unit’s zone first. In the task settings the campsite chooses whether that suggestion is confirmed by hand or the task is assigned automatically.

  • A team or a person can be limited to certain locations and properties; outside them they get no work.
  • Next to the day’s plan, the administrator sees open tasks that put guests at risk today, such as a fault in a unit with a guest in it, with who is handling each one.

Who may open tasks

Who may create tasks and who may create cleanings are set separately. A cleaner or technician the campsite puts on the list opens a task for any unit, chooses who will do it and follows it on the Tasks page. Assigning, editing and deleting stay with the office.

In a new campsite, the supervisor and the cleaners can open tasks as well as the administrator. The technician role is switched on per campsite.

Questions

About maintenance

Who decides who fixes a reported problem?

The person reporting it can choose. If they choose nobody, the task goes to the maintenance team that works on that unit when automatic assignment is on; otherwise the administrator assigns it.

Can a unit go to guests before the repair?

Yes. When a problem only holds guest readiness, the office can hand the unit over to guests before the repair. The task stays open until it is finished.

Can a cleaner open a maintenance task without calling the office?

Yes, if the campsite allows it. A cleaner or technician on the list opens a task for any unit and chooses who will do it; the office can still reassign or edit it.
