Guest turnover

Bookings arrive from the PMS or channel manager you already use, and we set up that connection with you during onboarding. They can also be imported from an iCal link or entered by hand. Following the rules you set, Camppy creates cleanings in advance from departures and arrivals: for a turnover, when one guest leaves and another arrives the same day, for a departure on its own and for an arrival on its own.

On turnover day the dashboard shows the units guests are leaving and arriving into, and how much time is left until check-in. An arrival with no cleaning scheduled or no team assigned sits at the top of the plan, so you can deal with it before the guest arrives.

Allocating the work

The whole day sits on one board: teams in rows, hours in columns, with the check-out and check-in lines running across it. Cleanings that have not started can be moved between teams and time slots. Changes wait until you save them, and changes to today can be saved with a notification to the team.

With automatic assignment switched on, Camppy picks a team for each new cleaning. The team responsible for the unit's zone comes first; if that team is busy that day or could not finish before the guest arrives, the cleaning goes to a team that can start sooner. A team you chose by hand is not changed.

Cleanings with no team can also be placed in one click on the board: Camppy arranges a proposal, and you review it before saving or discarding it.

Turnover Departure Arrival Problem

The “Cleaning Schedule” screen for Monday, September 7: four teams in lanes from 07:00 to 18:00, a check-out line at 10:00 and a check-in line at 15:00, and a blue current-time line at 12:35. Unit cards carry the booking situation and a status: guest-ready, awaiting check, done, cleaning in progress or awaiting cleaning. The bottom lane, “Unassigned”, holds one cleaning still waiting for a team.

CHECK-IN 15:00

Camppy creates the cleanings from your bookings. The manager then reviews the day, assigns work to teams and sees whether every unit can be ready between check-out and check-in.

Cleaning and maintenance

On their phone, each cleaner sees their cleanings for the day. On the cleaning screen they start the job, tick off the checklist for that type of cleaning and finish once every item is ticked.

If they find a fault, damage or missing linen, they report the problem from the same screen. The cleaning is marked as blocked, and the manager and the supervisor are notified. Blocked cleanings are listed separately above the schedule, and for a defect or damage the manager creates a maintenance task from there.

Maintenance work is kept separate from cleaning: the technician has their own task list, each task with its priority.

Checking readiness

Where a cleaning type requires a check, the unit only becomes ready once the supervisor has inspected and approved it. If something is not right, the cleaning is sent back.

On the dashboard, reception staff and managers see how many units are ready for today's arrivals, what state the others are in and how long is left until check-in. A unit that puts an arrival at risk is named, and the plan underneath offers one action for each unit.

On a campsite

Examples from everyday campsite work

Zones

Group units by area of the campsite and link zones to teams, so a team gets work in its own zone first. Supervisors can be given zones too.

Gas bottles

An empty bottle is reported by the owner for their own unit, or by a manager or supervisor. Whoever handles gas deliveries on the campsite accepts the request, and the delivery stays on record in the unit's history.

Baby cots

The note on the booking reaches the cleaning, so the team knows a cot has to be set up before the guest arrives.

Units with different owners

A unit can have one owner or several. Each signs in and sees their own units and a month-by-month statement: guest nights and the cost of cleaning, gas, maintenance and services.

Before you decide

Questions for your evaluation

Do we have to change our booking system?

No. Camppy is not a PMS or a channel manager: you keep managing bookings where you manage them today. Camppy connects to that system, and we set up the connection with you during onboarding. Bookings can also be imported from an iCal link or entered by hand.

Who decides which team cleans which unit?

The manager. With automatic assignment switched on, Camppy picks a team for each new cleaning based on the unit's zone and how busy the teams are that day, and the manager can move any cleaning that has not started on the board. Camppy does not change a team chosen by hand.

How does reception know a unit is ready?

The dashboard shows how many units are ready for today's arrivals, and the plan underneath gives each unit a prep status, such as “Awaiting cleaning”, “Cleaning in progress”, “Awaiting check” or “Guest-ready”.

Does every unit have to be inspected?

No. You switch the check on per cleaning type. Where it is on, a unit is ready only after a supervisor or an administrator has approved it.

What happens when a cleaner finds a fault in a unit?

They report the problem from their phone and choose a reason: defect, missing linen, damage or other. The cleaning stays blocked until the problem is marked as resolved, and for a defect or damage the manager creates a maintenance task from the cleaning schedule.
